- BindView Corporation, acquired by Symantec in January of 2006, is a leading provider of proactive business policy, IT security and directory management software worldwide. BindView solutions and services enable customers to centralize and automate policy compliance, vulnerability assessment, directory administration and migration across the entire organization. BindView's customers benefit from reduced risk and improved operational efficiencies with a verifiable return on investment.
- Business Challenge
A growing company, Bindview's employment needs were increasing rapidly. Since Bindview's beginning, they had been utilizing ad-hoc systems to find candidates, but had now come to realize that they needed a consistent recruiting process in place.
For the last ten years, Bindview had been working with contract recruiters on a job-by-job basis, and the results they were garnering were minimal and inconsistent at best. Standards for job candidates had become vague as a result of recruiting inconsistencies, and mediocrity was debilitating the company's growth. Their needs were clear, however, ranging across all divisions, from engineering, sales, finance and marketing positions to administrative positions.
A lack of communication among the Human Resources team also slowed down the recruiting process. The recruiting team reported to Human Resources, which focused more on internal employee management rather than external recruiting. Little communication existed between Human Resources/Recruiting and the Hiring Managers.
- Strategy/Solution
Because Bindview had no structured recruiting process in place, Q4B immediately introduced the team to Q4B's proprietary recruiting education program, recruitment solutions and methodology. The first priority was to teach Bindview the importance of a defined, scalable recruiting process.
Q4B first met with each business unit individually to inventory their wants and needs and establish strategic direction. Q4B then began weekly calls with Bindview's Hiring Managers on the status of open positions. Q4B also sent out a weekly pipeline report so the Bindview team had visibility to the recruiting process as candidates moved through the different stages. On a bi-weekly basis, Q4B met with Hiring Managers onsite to review progress on open positions and offered counsel from a strategic recruiting perspective.
On a tactical level, Q4B created Bindview's first applicant tracking system (ATS). They also provided intelligence on Bindview's competitors, salary data, and trends within their respective candidate pools. Q4B also implemented a refined "proactive recruiting engine" that delivered a decreased time to fill and an improved quality of candidates. This recruiting engine also enabled Bindview to have better control of their recruitment expenditures.
Ana Olenik, Human Resources Generalist at now Symantec (formerly Bindview) explains, "I would recommend [Q4B] to Austin and Houston colleagues because of their applicant databases, where applicants are already in the pipeline for certain positions, and because of their Applicant Tracking System, which has allowed us to track how many candidates were presented to hiring managers."
To help manage vendor relationships, Q4B implemented an Agency Alliance Partner Program (AAPP) initiative where they became the central point of contact for all agencies. Q4B first helped reduce the number of Bindview's vendors at the HM-to-agency level, lowering the number from 80 to 15 vendors. By eliminating the HM-to-agency level, Q4B was able to save Bindview from any extra agency spend in the field. The Q4B team also created a documented, repeatable program, creating goodwill with the agencies on behalf of Bindview, as well as reducing their risk by creating a legally defensible process for compliance.
The standardized "rules of engagement" agreements within the AAPP resulted in increased efficiencies and significant savings in placement fees, and the program reduced Bindview's year-over-year from nearly $120K to $20K. This agreement also prompted quicker turnaround time and feedback for the aligned partners.
- Results
There were 24 hires over a period of eight months throughout the company, including inside and outside sales, systems engineering, accounting/finance, development, and marketing.
Because Bindview was a small company in a niche industry, their standards were extremely high and specific. Finding qualified individuals was a challenge that Bindview was able to overcome with Q4B's team, processes and leadership.
